Receptionist - Jasper & Valemount Veterinary  Clinic

Hours:  Tuesday and Thursday 8:45 am to 3:45 pm.
Wage:  To be determined based on experience.
Job Description: 
Meet & Greet our clients and patients 
  • Greet every client that comes through the door.
  • Use clients’ names and their pets’ names whenever possible.
  • Update client and pet information. 
  • Introduce the AHT to the client/patient. 
  • Remember always say thank you at the end of a client visit.
Mail & Courier 
  • Send mail out daily. 
  • Follow up on all returned mail to get correct address and update client info. 
  • Deliver mail to the appropriate people.
  • Printing day-end, month-end, year-end reports. 
  • Balancing at day-end. 
  • Creating deposits. 
  • Filing reports. 
  • Statistics weekly and monthly. 
  • Insure that all discounted and free bags of food are properly recorded.
Patient/Client Reminders 
  • Monthly mail out reminders.
Pet Loss Programs 
  • Send out sympathy cards. 
  • Comfort grieving clients.
Lost & Found Program 
  • Reuniting owners with their lost pets via tags, microchips and/or tattoos. 
  • Ensuring all identification information is current in medical records.
  • Answer telephone calls. 
  • Schedule appointments (clients, reps, DVM’s personal appointments, seminars, meetings). 
  • Take messages for DVMs and AHTs. 
  • Record/program voicemail messages on phone system. 
  • Schedule specialist referrals and consults. 
  • Do not provide any veterinary medical advice to any caller.
Waiting Room 
  • Keep area clean and tidy. 
  • Clean any accidents that animals may have immediately. 
  • Keep desk extremely neat, organized and professional looking. 
  • Decorate the waiting room with a monthly theme. 
  • Keep bulletin board current.
Marketing Activities 
  • Distributing new client kits. 
  • Track client referrals and administer referral appreciation program.
General Office Duties 
  • Purchasing stationary and office supplies as needed. 
  • Ensuring everything is labelled and kept in its appropriate place. 
  • Ensuring the smooth running of exam room (by scheduling).
Medical Records 
  • Inputting all lab results, medical records, faxed materials, etc. 
  • Setting up new patient/client records. 
  • Client reactivation/inactivation program. 
  • Filing of all medical information and files. 
  • All documents can be scanned into the client computer files. 
  • All medical records need to go in to recycling to be shredded. Never throw client info into the garbage.
Clinic Maintenance 
  • Schedule equipment maintenance as per DVM request. 
  • Schedule routine maintenance.
Veterinary Software 
  • Responsible for troubleshooting all software and hardware problems. 
  • Organize training on new modules. 
  • Daily tape back-ups; monthly and yearly.
Qualifications:  An understanding of the importance of the human animal bond.
High School Diploma or G.E.D. 
Must be able to safely lift 40 pounds. 
Experienced in customer service.
               Experienced in cash handling. 
Has experience, personal or professional, dealing with cats and or dogs.
Required Hard skills:
               Highly proficient with Computers; Windows operating system, word processing, email, web search. 
Capable of doing basic math. 
Excellent written and verbal communication skills. 
Good organizational skills. 
Excellent phone skills.
Required soft skills:
               Critical thinking and problem solving skills. 
Able to work independently and be adaptable. 
Shows compassion, tact and understanding when dealing with clients. 
Possess a positive attitude.
