Museum Administrator/Manager - Valemount Historic

Hours:     Approximately 35 hours per week from May to September at the museum; and 30 hours per month from
October to April working from home.
The administrator can potentially work more hours on a project basis as determined by the grants successfully received.  These hours must be determined in consultation with the board.
 
Job Duties:  Undertake the administration of the day to day operations of the Society and the management of the
Valemount and Area Museum.  Undertake all the steps reasonably possible to meet the objectives set out in the VHS's annual plan and budget.
Administration
1. Board
-Implement Board Directives
-Report to the Board regarding fulfillment of the society's purposes.
-Prepare a monthly Administrators Report to be circulated prior to the monthly board meeting.
-Assist Board in formulating policy and procedures.
-Prepare short-term and long-term plans.
-Direct policy implementation.
-As a member of all Board committees support the Board in fulfilling all its functions.
-Attend all Board meetings and committee meetings as requested.
2. Liaison
-Seek community support and understanding: represent the society in the community.
-Maintain a harmonious, trusting, respectful relationship with the Board, Committee volunteers, membership, Village of Valemount and the public.
-Report to the Board and act as liaison between staff and Board.
-Participate in meetings and marketing plans with the Golden Raven and other Museums in the Prince George region (some travel will be required).
3. Public Relations
-Design and produce brochures, posters, notices and advertisements.
-Maintain and update website, Facebook page and other online sites that represent the Museum.
-Arrange to have brochures or rack cards at info centers, motels and hotels.
(some of the above may be assigned to summer staff)
4. Secretarial Duties
-Correspondence via email and written, minutes, meeting notices, and filing.
-Collect mail from post office and handle accordingly.
5. Reports and Applications
-Prepare an annual report and budget in consultation with the Board.
-Prepare the annual draft operating plan and draft budget for the Regional District.
-Write student grant applications, implement and write reports.
-Write project grant applications, implement and write reports.
6. Membership
-Organize annual membership drive and keep membership list updated.
-Issue membership cards.
7. Job skills required
-Computer knowledge is required.  Knowledge of Microsoft Word, Excel, Publisher, Outlook Express, databases, Adobe Photoshop would be an asset.
-Organized, motivated, ability to meet deadlines, ability to work alone, ability to work in a team, dependable and trustworthy with an eye for detail.
-Familiarity with local community groups and schools for outreach.
 
Museum Management
1. Management
-Prepare for opening: organize cleaning contract, set up displays that were stored for winter.
-Carry out day to day work at the Museum.
-Daily cash reconciliations, bank deposits, museum admissions and gift shop records.
-Provide bookkeeper with monthly payroll, cheque, deposit and accounting information.
-Order books and maintain inventory.
-Order retail products and maintaining inventory.
-Maintain archive database.
-Schedule events and programs and update on Museum website.
-Participate in Golden Raven program, some travel involved.
-Contact and work with volunteers for outreach and fund raising events.
-Prepare museum for winterizing.

2. Staff
-Recruit (with board input), train, supervise and evaluate summer students.
3. Summer programs
-Special event planning and implementation.
-Plan summer children's program and themes with summer students.
